FutureBridge Learning is seeking a highly organized, detail-oriented, and professional Administrative Coordinator to join our growing team. This role is critical to ensuring smooth day-to-day operations while supporting students, brokers, sales representatives, management, and external partners. The ideal candidate thrives in a fast-paced environment, has exceptional organizational skills, and can effectively manage multiple priorities while maintaining accuracy and professionalism. Key Responsibilities: Student File Management * Review and organize student files. * Ensure all required documentation is received and complete. * Follow up with students for missing documents. * Update and maintain student records within company systems. * Monitor file progress from intake through completion. * Coordinate with colleges, funding offices, and other stakeholders. Admissions & Funding Support * Assist students throughout the application process. * Verify application accuracy before submission. * Upload and track required documentation. * Monitor application statuses and provide updates. * Support OSAP and student funding processes. Broker & Sales Support * Support brokers and sales representatives with administrative requests. * Process new client submissions. * Ensure all required documents are received before sign-ups are finalized. * Maintain communication between sales, administration, and management teams. * Assist with tracking production and performance metrics. Customer Service * Respond to phone calls, emails, and inquiries professionally. * Provide accurate information regarding programs and services. * Resolve client concerns efficiently. * Escalate complex issues through the proper channels. Scheduling & Calendar Management * Manage appointments through Calendly and GoHighLevel (GHL). * Coordinate meetings and consultations. * Assist with calendar synchronization and scheduling logistics. * Support receptionist and front-desk operations when required. Data Entry & Reporting * Maintain accurate databases and records. * Generate reports for management. * Track student applications, approvals, and outcomes. * Assist with payroll-related administrative tasks. * Ensure all company systems remain updated. Compliance & Quality Control * Verify file completeness and accuracy. * Follow company procedures and SOPs. * Maintain confidentiality of student and company information. * Ensure all documentation meets company standards. Team & Office Support * Support HR with onboarding and employee documentation. * Assist with internal communications and announcements. * Maintain organized digital and physical filing systems. * Contribute to a professional and productive office environmen How to Apply Apply on Indeed with your resume.
