*Office Administrator - Fall 2024*
*1) **Position Summary *
_The office administrator position assists in coordinating church / office activity, working directly with office, pastoral staff, Jericho Road congregation, building tenants and wider public. They effectively communicate with and manage visitors, users, and tenants through various clerical and administrative functions. The ideal candidate demonstrates strong teamwork and communication skills, excels in administration while maintaining confidentiality, is reliable and conscientious, effectively solves problems and shows a willingness to be teachable._
*2) **Expectations *
The office administrator will support the ministry of Jericho Road Church by attending to the
daily activities of the office. This support includes living a high level of moral integrity, commitment to Christ, and alignment with our core values.
*3) **Essential Functions*
This position involves duties related to reception, clerical, hospitality, compassion, administration, website, social media, specific lease administrations, and preparation for Jericho Road services and events.
Proficiency in social media platforms in addition to platforms such as Wix, Subsplash, Canva, MS Office Suite, RightNow Media, and Planning Center?s group of platforms.
The Office Administrator works directly under the Core Leadership Team and receives regular feedback, as well as a formal annual evaluation.
*4) **Job Duties & Tasks *
? Provide and engage in reception, screening, correspondence and/or direction as needed via phone calls, voice-mails, emails to visitors, tenants, congregants and contractors.
? Show facilities & procure resources for and about Jericho Road Church ministries and building
? Provides support for tenants and responsible for booking, updating, filing, and distributing tenant and short term contracts & insurances for managing facility uses.
? Typing, copying and collating printed and/or digital documents for as needed for different ministries. This includes preparing E-newsletters, Sunday Service bulletins, notices/announcements and graphics related.
? Maintaining and replenishing office and janitorial supplies and equipment.
? Maintaining monthly calendar of important events for facility (drills, inspections, AGM)
? Maintains forms and records for contact information, baptisms, memberships, funerals & marriages
? Responsible for efficient record retention of physical and digital files & documents.
? Receiving and distributing mail.
? Capable of processing funds related to rentals, tithes & offerings
? Manages and maintains organization of facility keys
? Complete special projects as needed by Jericho Road Church pastor/elders
? Assist ministry team leaders to ensure smooth operation of Planning Center platform
? Assisting members and visitors with use of online platforms
? Fostering good relations with tenants and service providers
? Weekly Sunday service preparation ensuring necessary roles are filled and service materials are available.
? Managing room/space bookings for internal and external use
