*Job Summary:* It's Your Time Business Services Inc. is seeking a highly motivated and experienced Administrative Assistant to provide comprehensive support to our CEO and leadership team. The ideal candidate will possess exceptional organizational skills, a strong attention to detail, and the ability to handle sensitive information with discretion. This role requires a proactive approach, excellent communication abilities, and the capacity to manage multiple priorities in a fast-paced environment.
*Key Responsibilities:*
* *Administrative Support:*
* Manage and maintain the CEO's calendar, including scheduling appointments, meetings, and travel arrangements.
* Prepare and edit correspondence, communications, presentations, and other documents.
* Coordinate and manage logistics for executive meetings, including preparing agendas, materials, and minutes.
* Handle confidential information with a high degree of discretion and professionalism.
* *Project Management:*
* Assist in the planning and execution of special projects and initiatives as directed by the CEO.
* Track project timelines and deliverables, ensuring deadlines are met.
* Collaborate with internal departments to facilitate project progress and completion.
* *Communication:*
* Screen and prioritize incoming communications, including phone calls, emails, and mail.
* Draft and proofread documents, reports, and presentations for accuracy and completeness.
* *Travel Coordination:*
* Arrange domestic and international travel itineraries, including flights, accommodations, transportation, and visas.
* *Office Management:*
* Maintain an organized and efficient office environment.
* Order and manage office supplies and equipment as needed.
* Coordinate with facilities management to address office maintenance and improvements.
*Qualifications:*
* Minimum of 5 years of experience as an executive assistant or in a similar administrative role.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
* Strong organizational and time-management skills with the ability to prioritize tasks effectively.
* Excellent written and verbal communication skills.
* Ability to work independently and as part of a team.
* High level of integrity and discretion in handling confidential information.
* Strong problem-solving skills and attention to detail.
* Ability to adapt to changing priorities and work well under pressure.
*Preferred Skills:*
* Experience with project management software and tools.
* Knowledge of travel coordination and event planning.
* Familiarity with the industry in which the company operates.
Job Type: Full-time
Pay: $48,000.00-$53,000.00 per year
