*SUMMARY:*
We are seeking a detail-oriented and organized administrative assistant to support the smooth functioning of our boutique professional services organization. The ideal candidate will play a crucial role in ensuring efficient office operations, managing financial tasks, and providing project support.
This position required excellence in both verbal and written communication in English and Korean (preferred).
*ESSENTIAL DUTIES AND RESPONSIBILITIES (included, but not limited to):*
* Maintain and organize office supplies inventory
* Establish and manage an efficient office filing system, including scanning and filing notes
* Coordinate business travel arrangements
* Schedule and organize internal meetings
* Assist with processing office expenses and subcontractor invoices
* Handle in-person banking tasks, such as depositing checks and paying bills
* Generate invoices and prepare basic reports using QuickBooks
* Aid in the resolution of accounts receivable or accounts payable issues with vendors or clients
* Answer and direct phone calls.
* Write and distribute email, correspondence memos, letters, faxes, and forms
* Makes copies of correspondence or other printed materials as required.
* Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
*REQUIRED KNOWLEDGE, SKILLS & ABILITIES:*
* Bachelor's degree from an accredited university
* Proficiency in numerical tasks and a strong interest in finance-related work
* Basic understanding of accounting principles and processes
* Familiarity with the Microsoft Office suite and QuickBooks, with an aptitude for adopting new technology
* Ability to create visually engaging presentations in PowerPoint
* Experience in data entry with a keen eye for detail and accuracy
* Previous experience in a similar role within an entrepreneurial and/or professional services environment is preferred
* Excellent written and verbal communication skills
* Bilingual English/Korean is preferred.
