We are looking for a *Commercial HVAC Service Department Coordinator*. Reporting to the Controller, the successful candidate should have the following skills:
* Excellent English oral and written communication skills
* Service and/or Mechanically minded individual (with willingness to learn)
* Thorough knowledge of typical office procedures, including typing/data entry, electronic/manual records management file systems, customer service, communication, teamwork, initiative, accountability, flexibility, and adaptability
* Organization and the ability to manage several items concurrently, with an emphasis on determining priorities and organizing activities of a diverse work assignment
* Attention to detail to ensure data entry accuracy and quality of work
* Demonstrated ability to research/investigate issues and utilize sound decision-making skills to resolve problems and escalate when required
Your duties as a Service Coordinator will be as follows:
* Strong leadership skills to manage and sustain a team-oriented group of Local 787 HVAC Technicians while continuing streamlined processes and procedures.
* Monitor and maintain complete and accurate Service staff certification records to ensure compliance with legislation, regulatory bodies and customer required portal reporting.
* Ensure Service staff Health and Safety compliance at all times including but not limited scheduling new and renewing courses, WSIB reporting, incident tracking and disciplinary reinforcement.
* Manage Technicians vehicle fleet maintenance including scheduling of asset maintenance & selling/purchasing of assets etc.
* Main liaison between the Customer and Service Technicians
* Ability to get to know the customer sites, equipment & history profoundly.
* Manage Technicians purchase order requisitioning to ensure expenses are applied and charged accurately.
* Review all technician job information/work orders with specific attention to missing details and communicate with Technicians to make adjustments as required.
* Complete quotations/recommendations from workorders using worksheet for a timely and accurate repair/replacement quotation to customer
* Ensure timely turnaround of electronic workorder completion from field staff for invoicing of open jobs and receipt of job-related supporting information such as packing slips, checklists & data sheets
* Process & follow though Manufacturer warranty
* Verification and approval of Technician weekly timesheets
* Manage and maintain fleet GPS software
* Administer Service Technician yearly on-call schedule including coordination with after hours answering service to keep them updated of changes
* Manage scissor lift/asset locations and charges associated
* Other duties as assigned by Controller
*Education and Training:*
* Completion of secondary school (Preference to Post Secondary w/Administrative focus)
* Minimum two (2) years HVAC administrative experience
* Quickbooks Desktop
* Microsoft Office Suite & Adobe
* Ability to learn and become an expert with custom service software package (used daily)

Job Type: Full-time
Pay: $29.00-$35.00 per hour
Expected hours: 40 ? 42 per week
