*Museum Coordinator*
*Reports to: *Museum Director/Curator and Museum Operating Committee
*Position overview:*
The North Bay Museum is seeking a full-time, permanent Museum Coordinator. The Museum Coordinator will provide supervision, oversight and coordination of museum operations including the retail program, fundraising program, museum rentals, invoicing, and educational programming initiatives.
*Major Specific Responsibilities:*
*Retail Management and Fundraising:*
* *Retail Management:* Develops and delivers museum retail operations. Manages the gift shop layout and design, selects products, merchandises, inventory control, marketing, staffing, and develops the annual gift shop budget. Oversees point of sale system, sets pricing, introduces new products and analyzes sales data.
* *Internet Retail Operations:* Leads and delivers museum?s online retail program, including prompt order fulfilment. Adds new products as available and ensures accurate listings and inventory. Integrates social networks such as Facebook, Instagram, and email newsletters into marketing.
* *Budgetary Responsibility:* Prepares annual and monthly budgets. Analyzes retail performance. Designs, generates, reviews, and analyzes sales and financial reports to assess performance by product. Takes profit improvement actions as appropriate. Controls cash in conformance to the policies established by the Comptroller. Works closely with Comptroller and Museum Director/Curator to develop reports for Board of Directors and auditors, including without limitation: sales, cost of goods sold, HST, internet sales, inventory, etc.
* *Product Development:* Explores and develops creative new products related to the station and the museum?s collection. Also researches and orders new products that are unique to North Bay.
* *Fundraising:* Coordinates and manages fundraising events, appeals, etc. including seeking sponsors for special museum exhibits and events. Tracks donations throughout the year, and sends proper acknowledgement. Prepares and sends charitable tax receipts.
*Educational Programming:*
* Has an overall knowledge and understanding of all museum educational programs geared towards schools and groups, tours, birthday party programming, and summer camps.
* Generally oversees all programs, as administered by interns, students and volunteers.
* When necessary, assists with delivery of programs, including but not limited too, school programs, tours, birthday parties, and camps.
* Assists with training of new staff so they can properly execute all programs.
* Markets the programs and summer camps on a wide variety of platforms to appropriate audiences.
* Maintains records of all online purchases for programs and camps.
*Rental Facility Management:*
* Oversees rental of museum galleries for general public, and community partner events. Communicates with general public to answer all inquires about the space. Consults museum calendar to ensure no events are overlapping.
* Provides quotes, issues all invoices and collects payments relating to rentals.
* Ensures rentals are set up according to specifications, follow all policies, procedures, and regulations, and ensures proper clean up.
* Communicates with City of North Bay regarding rentals of the Jack Burrows Place.
*General Responsibilities:*
* Attends Museum Operating Committee meetings and interact with Board of Directors, executive officers, community stakeholders, and committees as needed.
* Participates in creating graphics to promote various museum events and programs. Shares information to social media. Monitors all social media platforms, along with other staff.
* Assists with creating museum newsletter for members, and other member initiatives.
* Works with Museum Director/Curator to recruit, hire, and train all staff. Establishes a training program for employees on customer relations, store operating procedures, museum opening and closing routines, museum policies and history.
